Description:

A Private couple living in Palm Beach, FL is seeking a refined, skilled, tech-savvy, and experienced Chief of Staff / Head of Operations to oversee the daily operations of the household and provide direct assistance to the principals and family office. This role requires active participation, strong leadership skills, a background in formal service, GM expertise, and a proactive, compassionate approach to staff and household management. The ideal candidate has extensive experience in assisting high-net-worth individuals and managing sophisticated private residences with precision and grace.

Primary Responsibilities:

  • Complete/oversee repairs and preventative maintenance (maintenance programs for critical mechanical equipment, retaining walls, lighting – day/night, front gate operations, etc.)
  • Storm monitoring and preparation in accordance w/ best practice checklist
  • Regularly test AV/IT operations within the home (lighting, cable, Apple TVs, phone system, etc.)
  • Check for plumbing problems, drips, leaks, and drywall repairs (and run dishwashers / check appliances to ensure proper operation)
  • Maintain cleanliness and operation of all windows and doors
  • Review light bulbs, thermostat settings, clocks, etc.
  • Ensure security systems (including smoke detectors, water sensors, etc.) are working properly
  • Complete Owners' punch lists
  • Maintain inventory of household materials (batteries, light bulbs, COVID tests, water, etc.)
  • Manage interior/exterior vendors onsite – communicate/correct problems (as needed)
  • Ensure vehicles are properly maintained, cleaned, and ready/safe for family use
  • Produce/maintain weekly reports and calendars and regularly communicate updates to Owners
  • Detail review invoices and upload to A/P folder, maintain home manual, and assist with budget
  • Assist with the procurement, negotiation, and execution of vendor contracts
  • Always ensure safety and security at all times on the estate grounds (including signed VCAs)
  • Act as the primary point of contact for all household-related matters, including staff, vendors, and service providers.
  • Daily (thorough) inspection/walkthrough of property (grounds, interior/exterior, etc.) Manage household projects, renovations, and repairs, ensuring work is completed to the highest standard.
  • Develop and refine household processes and operational procedures, filling any gaps in efficiency.
  • Manage household staff schedules, ensuring adequate coverage and task delegation.
  • Supervise and support domestic staff, providing ongoing training, performance feedback, and guidance.
  • Establish and maintain strong relationships with vendors, contractors, and service providers, ensuring the best service and value.
  • Provide safe, reliable, and discreet transportation for the principals within Palm Beach, FL and surrounding areas.
The initial salary offer will be calculated according to your level of expertise and credentials. Salary Bracket: $120,000 – $170,000. There is a possibility of receiving a year-end bonus at the company's discretion. The comprehensive benefits package comprises medical, dental, and vision insurance. Working Hours: Monday to Friday, 9 AM – 5 PM, with occasional weekends required.
We are exclusively seeking local candidates who possess over 5 years of experience in the Palm Beach area.

Minimum Qualifications:

  • Career, experienced property management professional with expertise managing high-end estates
  • Must be an exemplar professional, excellent communicator, very efficient / have great time management skills, great attention-to-detail, and be very organized
  • Must be legally authorized to work in the United States and able to pass a comprehensive background check
  • Experience handling high-end household assets, including fine art, antiques, and luxury furnishings.
  • Excellent written and verbal communication skills; must be proficient in Microsoft Office (Excel, Word, etc.).
  • Hands-on approach with the ability to step in and assist with household tasks when needed.
  • Comfortable with pets and willing to provide occasional pet care support.
  • Highly discreet, professional, and capable of maintaining confidentiality.
  • Valid Driver's License
